UA / Front Office Coordinator
Soteria Solutions is seeking an Office Coordinator for our outpatient mental health clinics located across California with potential travel to other clinic sites as needed.
This role offers a blend of administrative and program-related responsibilities, many of which are time-sensitive and critical to ensuring community safety. Duties may adjust over time to align with evolving company needs.

Position Overview:
Working independently under the supervision of the Operations Manager, the Office Coordinator will provide essential administrative support to staff, coordinators, management, and directors. This role includes an introductory period, after which health benefits and retirement options will be available.
Key Responsibilities:

Answer, screen, and direct incoming phone calls

Greet and welcome visitors and clients, ensuring they are directed appropriately

Maintain a tidy and well-stocked reception area with necessary materials (e.g., forms, pens)

Implement office security measures and control access following safety protocols

Manage and update the web-based record data system

Assist staff, coordinators, management, and directors with policy and procedure inquiries

Process payments (in-person and over the phone) and issue receipts

Handle paperwork related to client intakes, discharges, reviews, and other documentation

File and organize records

Draft, format, and finalize correspondence and reports

Schedule and manage client appointments

Uphold confidentiality of client information

Perform other duties as assigned
Qualifications:

Strong understanding of office systems, methods, and standard procedures

Proficiency in using standard office equipment (computers, copiers, fax machines, etc.)

Familiarity with Microsoft Office (Word, Excel, Outlook) and other technology platforms

Valid driver’s license and auto insurance
Skills Required:

Ability to independently prioritize tasks and manage multiple projects

Strong written and verbal communication skills

Proficiency in handling phone calls and scheduling appointments

Ability to effectively communicate policies and information to clients

Capacity to work with diverse populations
Experience:
-
Minimum 2 years of experience in a front office reception role (required)

Spanish language skills (preferred)
Physical Requirements:
The role requires alternating between extended periods of sitting and computer work and frequent movement around the office.
Compensation:
Salary will be commensurate with experience.
